Privacy Policy

Dear website visitor,

KW FLEX has drawn up this privacy and cookie statement to make it clear to you that we take your privacy very seriously. For that reason, personal data collected by us are carefully processed and secured. We shall comply with the General Data Protection Regulation (AVG) in doing so.

When processing personal data, we comply with privacy legislation. This means that we:

  • Clearly define our purposes before we process your personal data, via this privacy and cookie statement.
  • Store as little personal data as possible and only the data necessary for our purposes.
  • Obtain explicit consent for processing your personal data, should consent be required.
  • Take the necessary security measures to protect your personal data.
  • Respect your rights, such as the right to inspect, correct or delete your personal data processed by us.

Purposes of data processing

In this privacy and cookie statement, we explain what we do with information we learn about you. By using our services or visiting our website www.kwflex.nl, we obtain various types of personal data from you. For each purpose, we indicate below which data we obtain from you, for what purpose we process this data and for how long it is stored. If you have any questions or want to know exactly what information we keep on you, please contact us using the details at the bottom of this privacy and cookie statement.

Placing and processing orders

You can place an order via our website (www.kwflex.nl). When you place an order with us, you leave us certain information. We need this data to process the order.

  • E-mail address
  • Phone number
  • Payment details

We use this data to execute the agreement we enter into with you. We keep this information until your order is completed. We keep some data longer if we are legally obliged to do so (e.g. because of the seven-year tax retention period).

You can subscribe to our newsletter via our website. In this newsletter, we will inform you monthly by e-mail about our products, services and offers from KW FLEX Racket specialist shop.

For this purpose, we process the following personal data:

  • First and last name

We use this data on the basis of your consent. You can unsubscribe from the newsletter at any time. Every newsletter contains an unsubscribe link. As soon as you unsubscribe, we keep your data on our blocking list so that you will not receive any more mailings from us.

Anonymising

We may anonymise personal data that we obtain through the use of the website. This means that the personal data originally obtained by us are rendered anonymous in such a way that the person concerned can no longer be identified on the basis of these data. The data are therefore no longer personal data and there are therefore no privacy risks involved.

We have a legitimate interest in anonymising data. This is because anonymised data enables us to conduct statistical research and improve our website.

For this purpose, we process the following personal data:

  • First and last name
  • E-mail address

Applying for a job at KW FLEX

Have you responded to one of our vacancies or submitted an unsolicited application? If so, we process your personal data in order to process your application.

We process the following personal data for this purpose:

  • Name and address details
  • E-mail address
  • Telephone number
  • Curriculum Vitae
  • Motivation letter
  • Salary indication
  • References
  • Any other information you enclose with your application

We use this data in preparation for the possible conclusion of an employment contract. Should you not be employed by us at the end of the application procedure, we will retain the application data for no longer than six weeks after the end of the procedure. This allows us to approach you if, on further consideration, the previous candidate proves unsuitable. If we are unable to offer you a position at this time, we may - with your consent - keep your application data for a maximum of one year after the application procedure is completed. You can withdraw your consent at any time by sending us an e-mail. If you join us, we will save your application data in the personnel file.

Part of the procedure is a social media and internet screening. We may use found information during the application process for further assessment. Performing the screening is necessary to ensure that our image is maintained when hiring new staff. We therefore do this on the basis of our legitimate interest. For this purpose, we search your name on Google and any profile on various social media. This, of course, insofar as these profiles are public; we will not ask you to grant us access to a protected social media page or make a connection with us. Naturally, findings will always be discussed with you. We do not reject people solely on results of screening. Should you object to the screening, you can indicate this by e-mail at the time of application.

When may we share your personal data with third parties?

We only share your data with third parties when this is permitted under current legislation. We may share your personal data with third parties because:

  • we have engaged them to process certain data;
  • this is necessary to execute the agreement with you;
  • you give permission for this;
  • we have a legitimate interest in doing so;
  • we are required to do so by law (e.g. if the police require this in case of suspected crime).

The parties that process personal data on our or your behalf are:

  • Cookie suppliers (please see the cookie table below)
  • IT suppliers and service providers
  • Our hosted e-commerce platform
  • Delivery service
  • Payment service providers (and collection agency)

In order to provide our services, we may provide your personal data to parties based outside the European Economic Area (EEA). We only do so if there is an adequate level of protection for the processing of personal data.

Security

We take appropriate security measures to limit misuse of, and unauthorised access to, your personal data. For example, we ensure that only the necessary persons have access to your data, that access to your personal data is protected and that our security measures are checked regularly. We take the following security measures, among others:

  • logical access control on our laptops and systems, using passwords;
  • physical access security measures, including camera security in our office building;
  • encryption (encoding) of digital files;
  • organisational access security measures;

We work digitally as much as possible: old papers go through the shredder and digital documents are secured.

On our website, we use social media buttons, which direct you to the social media platforms. The buttons work because of bits of code coming from the social media networks. If you want to know what the social media platforms do with your personal data, please read the relevant privacy statement:

We use your data to process orders as quickly and easily as possible. Otherwise, we will only use these data with your consent.
